How do I forward an application via email to the relevant department?

This help article explains how applications are forwarded via email to external departments.

This feature allows you to share individual applications externally with a department without the recipients necessarily having to be your colleagues.

πŸ›  Requirements for Use

To forward applications by email to third parties, the feature must be activated in your system.

Activating the Feature: 1️⃣ Click on your profile photo in the top right corner. 2️⃣ Go to Settings β†’ Additional Features β†’ Privacy and Security. 3️⃣ Activate the "Forward Application by Email" switch at the bottom of the screen.

πŸ“Œ Important Information

❗The "Forward by Email" feature is only available to users with the appropriate role permission.

βœ… If users do not have the "Just-Hire Administrator" role, a role adjustment is necessary.

βœ… This change can only be made by someone with the "Just-Hire Administrator" role.

βœ… The activation of the feature is automatically inherited to all sub-clients but can be tailored individually for each sub-client.

πŸ”‘ Administrator Path for Activation

1️⃣ Go to Settings β†’ User Management β†’ Roles.

2️⃣ Open the role management and select the relevant role.

3️⃣ Click on the three dots and select "Edit."

4️⃣ Switch to the "Manage Applications" tab.

5️⃣ Check the "Forward by Email" box and click "Save."

πŸ“© Forwarding an Application by Email – Step by Step

1️⃣ After the role adjustment, the "Share" entry can be selected within an application in the top right via the three-dot button.

2️⃣ Click on "Forward by Email."

3️⃣ Fill in the relevant data and click "Send Email." You can store multiple email addresses and additionally specify CC recipients.

4️⃣ The recipient receives an application summary as a retrievable PDF link.

  • The PDF link is valid for 4 weeks.

  • Recipients of the email do not need to be internal company personnel (unlike the "Share Application" feature).

  • The recipient can forward the application indefinitely without control by the original company.
