The option to make a rejection without sending an email in softgarden offers several advantages:

Discretion & Internal Management The rejection is documented in the system without actively informing the applicant. This can be helpful if the rejection is to be processed internally before an official notification is made.

Flexibility in the Application Process If an applicant has already been informed elsewhere or has withdrawn, the rejection can be made without an additional email. Companies can manage the application status without triggering unnecessary communication.

Avoidance of Automated Rejections In some cases, companies may wish to convey a more personal rejection through other channels (e.g., phone) and avoid a standardized email.

This feature is particularly useful for recruiters and administrators who want to manage applications efficiently without immediately sending a message to the applicant.


Required Permission

Important Information: The feature can only be used by users with the corresponding role permission. If a user does not have the "Just-Hire Administrator" role, an adjustment is required. These changes must be made by a user with the "Just-Hire Administrator" role.

Administrator Path to Activate Permission: Settings → User Management → Roles → Open Role Management → Select Appropriate Role → Click Three Dots → Select "Edit" → In the "Manage Applications" tab, check "Move in Process".


Step-by-Step Guide:

1️⃣ Go to the respective application and click on the "Reject" entry at the top right.

2️⃣ Click "Reject Application" in the open menu.

3️⃣ Select the appropriate rejection reason on the form and finally click "Reject without Sending Message" at the bottom. This way, no email will be sent to the applicant.

ℹ️ Info: The rejection reason selected here is only visible internally and not to the applicant.

💡Note: The application now shows the rejection reason, the date and time of initiation, and the name of the executing user.


✏️ Add and Manage Rejection Reasons

Steps to Store a New Rejection Reason:

1️⃣ Click "Customization" in the settings area, then "Rejection Reasons."

2️⃣ Click "Add Rejection Reason." Enter the new rejection reason and add entries for the supported languages.

💡Note: English is mandatory as the fallback language.

Managing Rejection Reasons:

  • Existing rejection reasons can be edited by clicking the three dots next to the respective entry.

  • The order of rejection reasons can be adjusted via drag-and-drop or sorted alphabetically.

  • Activated rejection reasons appear in the dropdown menu for rejections, while deactivated reasons are hidden.

🔒 This feature is only available to individuals with the assigned "Administrator" role. Changes apply to all subsidiaries.
