How can I move an application from a job to the talent pool?

This help article explains the various ways to add candidates to the talent pool.

In Softgarden, applications cannot be moved directly. Instead, applicants can be invited to join the Talent Pool. There are three ways to do this:

1️⃣ Admission via a Rejection

If an application is not suitable for the current position, a rejection can be sent. At the same time, the applicant can be offered the option to join the Talent Pool.

📌 Step-by-Step Guide:

1️⃣ Open the application and click on "Reject" at the top right. Then select the menu entry "Reject application."

2️⃣ In the opening window, select the reason for the rejection and activate the "Invite to Talent Pool" switch.

If desired, you can already assign a pool category to filter for talents later.

⚠️ Important:

  • The entry "Reject without sending a message" should not be selected, as the applicant must first give consent via a link.

  • Via "Message →", an email with manually created text or an email template is sent.

Invitation to the Talent Pool:

1️⃣ At the end of the rejection email, a link is included, allowing the applicant to actively register for the Talent Pool.

⚠️ Important: For registration to be possible, the appropriate Talent Pool macro must be selected from the available macro list and integrated into the text in a saved email template.

2️⃣ After clicking the link, the applicant can answer the three questions and agree to the data protection statements.

Then, by clicking the "Join Talent Pool" button, they join the pool.

3️⃣ The applicant's Talent Pool profile is only visible in the "Talent" area after successful registration.

⚠️ Important Notes:

  • If the option to join the Talent Pool (toggle button) is not generally available, the application is already in the pool.

  • Directly moving applications to the Talent Pool without an invitation is not possible because applications may have different deletion periods depending on the client system.

2️⃣ Reach Job Seekers via the Talent Pool without Previous Application

Job seekers can also be added to the Talent Pool without a previous application. For this, a new area in the career portal can be activated: "Get Connected."

🔛 Activation of the Feature:

1️⃣ Click on your profile picture at the top right → Settings → Additional Features → General Settings and activate the "Get Connected" switch.

2️⃣ Go to Customization → Job portal and activate the "Show Get Connected" switch and click "Save Changes" at the top right.

⚠️ Important: This step can also be skipped if you want to make the area accessible to potential candidates solely via a link.

The link can be viewed here: Go to the settings area → Additional Features → General Settings and copy the URL entry under "Get Connected."

Potential candidates now have access to the "Get Connected" area and can submit their profile there. After clicking the "Submit" button, they receive an automatically sent confirmation email.

The content of this email can be edited under Settings → Customization → Email Templates by an internal company person with the role "Just-Hire Administrator" or a role adjusted by the Just-Hire Administrator.

3️⃣ Manually Add a Talent Pool Profile

If there is no application, candidates can be manually added to the Talent Pool.

📌 Step-by-Step Guide:

1️⃣ Go to the "Talent" area and click "Add Application" at the top right.

2️⃣ Choose whether the profile should be created using the CV parsing function (if activated) or manually.

3️⃣ The interested parties receive an email to confirm their admission to the Talent Pool.4️⃣ Additionally, they receive an email with the data protection declaration and a link they must call up to confirm the data protection notices.
