How does copying and moving applications work?

This help article discusses permissions and steps for copying and moving applications.

Important Information: This feature can only be used by individuals with the appropriate role permission. If you do not have the "Just-Hire Administrator" role, your role must be adjusted. These changes can only be made by someone with the "Just-Hire Administrator" role.

Inheritance of the Setting: The setting made here is inherited by all subtenants but can be individually adjusted for each subtenant.

How to Enable the Permission:

1️⃣ Go to Settings → User Management → Roles.

2️⃣ Click on "Open Role Management" to start role management.

3️⃣ Select the "Manage Roles" option and find the appropriate role.

4️⃣ Click on the three dots next to the relevant role and select "Edit."

5️⃣ Go to the "Manage Applications" tab and check the "Copy Applications" box.

6️⃣ Finally, click "Save" to apply the changes.


Step-by-Step Guide

1️⃣ Click on the three dots at the top right.

2️⃣ Now click on the entry "Copy Application."

3️⃣ In the mask that is now displayed, first click on the "Basic Information" field to select the desired job title to which the application should be copied.

Notes:

You can use the search function here to quickly find the desired job.

If you can't find the job you're looking for, it's because the application is already in this job and has thus already been copied.

4️⃣ At the top, you will see an overview of the selected job for review. You can now choose which information from the application should be transferred to the new job. Alternatively, you can activate the "All Information" toggle to copy all contents.

5️⃣ Now choose which action should be taken after copying the application.

The Options:

  • Retain Applicant on Original Job: The application is copied to the new job but remains on the original job as well. This creates a duplication of the application.

  • Transfer Applicant to Selected Job: The application is moved from the original job to the new job. It will then only be found in the new job.

  • Reject Applicant on Original Job: The application is copied to the new job while the original application is rejected.

6️⃣ Final Step: You have the option to inform the applicant about your action via email or to skip this step.

Option A: Inform Applicant via Email

  • Activate the switch button "Send email to (applicant's name)."

  • Click "Message →" at the bottom right to compose an email manually or use an existing email template.


Option B: Do Not Send Email Notification

  • Deactivate the switch button "Send email to (applicant's name)."

  • Click the blue "Copy Application" button at the bottom right to complete the process.
