The "Rejection Reasons" function is used to manage standardized reasons for rejecting applications.
Purpose & Benefits:
Consistent Communication – Predefined rejection reasons ensure that rejections are formulated consistently.
Time Efficiency – HR teams do not have to formulate individual rejections every time but can select from saved reasons.
Transparency & Traceability – Companies can document the reasons for rejecting an application.
Application in Softgarden:
People with the Admin role can configure, edit, and sort rejection reasons.
When rejecting a candidate, the selected rejection reason is automatically integrated into the rejection email.
Changes to rejection reasons at the company level are automatically applied to subsidiaries.
📌 Step-by-Step Guide:
1️⃣ Log into the system. 2️⃣ Navigate to the "Customization" tab in the settings area. 3️⃣ Click on "Rejection Reasons" to open the configuration page for rejection reasons.
Display Rejection Reasons:
On this page, you can see all current rejection reasons in the language you use for the platform. The rejection reasons are displayed in the order they appear in the dropdown menu when rejecting a candidate.
Add New Rejection Reason:
1️⃣ Click the "Add Rejection Reason" button.
2️⃣ Enter the new rejection reason and add entries for the supported languages.
💡Note:
English is mandatory as a fallback language to ensure a standard option is available if a language is not fully configured.
If you're unsure about the English translation, you can always use online translation tools.
The new rejection reason will automatically appear as the last item in the list and dropdown menu.
Edit Rejection Reasons:
To edit an existing rejection reason, click on the three dots next to the corresponding entry.
Adjust the wording or details of the rejection reason as needed.
Sort Rejection Reasons:
1️⃣ Click the sort icon to change the order of the rejection reasons.
2️⃣ You can manually move the reasons by drag-and-drop or sort them alphabetically.
📌 Important: Changes to the order apply to all languages! For example, if you move a reason up in the German version, it will also appear at the top in all other language versions.
Remember to save your selection after manual sorting!
Manage Activation:
By default, only activated rejection reasons are displayed. To show deactivated reasons, uncheck the "Show only activated" option. Deactivated rejection reasons do not appear in the dropdown menu but can be reactivated individually or en masse as needed.
