Contacting multiple applicants at once is easy when you use the filter and bulk action features in the Applications section. The following steps show you exactly how to do it.
Step 1: Filter applications
In the "Applications" section (left-hand menu bar), you can narrow down the list of applicants. The following filters are available for this purpose, for example:
Job (e.g., selecting a specific job)
Status step (e.g., "Received," "Under Review," "Rejected")
The filters determine which applications are subsequently available for the batch action.
Step 2: Select multiple applications
Once the filtered list is displayed, you have two options:
Use the checkbox at the top left to select all displayed applications at once.
Alternatively, you can select individual applications using their respective checkboxes.
This allows you to specify exactly who should receive the email.
Step 3: Use the "Write email" bulk action
After making your selection, the blue action bar appears at the bottom. Select the following option:
Write the email
Here, you can manually compose a message or select a pre-saved email template. If necessary, you can also attach documents or add further information at the bottom.
You only need to write the message once—the system handles the rest.
Step 4: Sending & Filing
Even when you trigger the message in a batch, the following happens:
The emails are sent individually.
Each email is filed separately within the respective application.
Recipients do not see other email addresses, as each message is sent as an individual email.
Info: Sending emails at a later time
With softgarden, you can also send emails at a later time. This allows you to decide exactly when your message reaches the candidates—for example, the next morning instead of immediately. Simply click "Send email later," select the date and time, and the email will be sent automatically at the desired moment.
Note on placeholders (macros)
Placeholders such as [first name] or [last name] are automatically replaced with the correct data from the respective applicant profile when the message is sent. While you will still see the placeholders in the template, applicants receive a fully personalized message—for example, "Hello Max Mustermann" instead of "Hello [first name] [last name]."
