There are three prerequisites for tagging a person in the team chat using the @ function. These should be clarified internally by someone with an administrator role regarding permissions:
1. The person must be listed in the job team or hold the admin role.
You can check whether the person is part of the job team by viewing the job team section under the "Overview" tab of the job.
When viewing the tagged accounts, please pay attention to the tag on the right featuring a plus symbol if there are more than four job team members. Hovering your mouse over the number allows you to see the additional members of the job team.
2. The person requires access to the relevant application stage via the role's workflow status configuration.
To access the application after being tagged using the @-function, the person's role requires access to the specific workflow stage where the application is currently located.
To verify this, please first go to "Settings" > "User Management" > "Users" (https://app.softgarden.io/just-hire/settings/users/users). There, you can search for the account and view the current role, which is highlighted in gray. Under "Settings" > "User Management" > "Roles" (https://app.softgarden.io/just-hire/settings/users/roles), you can view and modify the workflow stage assignments by clicking the pencil icon next to the role.
Be sure to check the "Custom application processes" collapsible menu; verify that you have enabled all internally required workflow stages there. You can see which workflow applies to the job containing the application by looking at the "Overview" tab within the job, under the "Basic information" section.
Please also note that, even if an email notification is sent to the person, access rights will be revoked if the application is subsequently moved to a workflow stage that the person is not authorized to access based on their role assignment. Access may therefore not be permanent.
This requirement does not apply if the team chat relates to the job itself rather than to specific applications.
3. The person's role requires access rights to team chat comments, configured via the role permissions settings.
A person can only be tagged using "@" if their role grants them access to the team chat.
To verify this, please first go to "Settings" > "User Management" > "Users" (https://app.softgarden.io/just-hire/settings/users/users). There, you can search for the account and view the current role, which is highlighted in gray. As an admin, you can access the role permissions editing menu by clicking the three dots next to the relevant role at https://my.softgarden.io/de/management/roles.
In the "Evaluate Applications" section, the permissions "View comments (Team Chat)" and—depending on requirements—"Submit comments (Team Chat)" must be enabled to allow collaboration within this area of the tool.
Only if these three basic requirements are met is it possible for the person to access the team chat comment and for the marking in the system to be triggered using the @ function. Each person can enter for their own account whether a notification email is triggered when this marking is made. This can be set at the top right under “Your Account” -> “Notifications” -> “Content of the emails” (https://app.softgarden.io/just-hire/mpg/account/notifications/mailingContent).
If the “Separate notification emails” area has been activated in the “Email Settings” tab next to it (https://app.softgarden.io/just-hire/mpg/account/notifications/mailing) (Figure 1), you can use the Edit button (Figure 2, No. 1) under “Content of the emails” to tick “Notify me when you are mentioned” under “New comments on an application” (Figure 2, No. 2).

You will subsequently receive an automated notification email whenever you are mentioned using the @-function in applications or jobs.
