Why can't certain team members see applications?

This help article explains why certain team members cannot see applications and outlines the access and permission settings required for them to do so.

If team members are assigned to a job team but still cannot see any applications, this is almost always due to missing permissions or an incorrect system assignment. Several conditions must be met for access to work.


1. Job team assignment

The team member must be assigned to the job team for the specific job. However, this assignment is merely a prerequisite and is not sufficient on its own.


2. Role and visibility permissions in the workflow

Every application goes through a workflow with various status stages (e.g., New, Pre-selection, Interview, Offer, Onboarding, Hired, Rejected). Whether a team member can view applications depends on whether their role has access to the respective status stages.

This means:

  • Even if someone is part of the JobTeam, they will not see applications if their role lacks access to the corresponding workflow statuses.

  • Permissions are defined in User Management.

Where are access permissions adjusted?

Path: Settings → User Management → Roles

The applications will become visible after saving and logging in again.


3. Tenant Assignment

In multi-tenant systems, roles, workflows, and viewing permissions are tenant-specific.

  • The team member must be assigned to the correct tenant—specifically, the tenant where the application is received.

  • Example: A user is on the job team for a job in Tenant A but is personally assigned to Tenant B → applications remain invisible.


4. Application No Longer Available

If an application:

  • has been deleted or

  • has been withdrawn by the applicant,

it is no longer visible to team members.
