Why do I, as an administrator, receive a permission error when opening an applicant profile from an email?

Background

If you, as an administrator, open a link from an email notification and see a permission error message in the applicant management system, this usually does not mean that you lack the necessary permissions. Instead, it means that the linked applicant profile no longer exists.


Why is the applicant profile no longer available?

An applicant profile can no longer exist for two reasons:

  • It was deleted manually

  • It was automatically deleted because the specified deletion deadline was reached

Once an application is deleted, it is completely removed and cannot be restored.


Administrator Access

As an administrator, you generally have access to all jobs and applications within your client structure.

To check whether an applicant profile still exists, you can use the search function:

Search (magnifying glass) → Enter the applicant's name

  • If no result appears, the applicant profile has already been deleted.

  • Consequently, a permission error occurs when attempting to open the old link from the email.


Accessing as a non-administrator

If the link to the applicant profile is opened by a user other than an administrator, a permission error may occur for the following reasons:

  • No access to the job: Roles such as Recruiter, Hiring Manager, or Department Representative only see the jobs assigned to them. If the job has not been released, a permission error appears.

  • No access to the workflow step: Even if the job is assigned, access to the application may be denied if the role lacks permission for the specific workflow step. → In this case, the application does not appear in the overview, and the link from the email results in a permission error.

  • The applicant profile has been deleted: If the application was removed—either manually or automatically (due to a deletion period)—a permission error also occurs, regardless of the user's role.
