What standard roles are there, and for which groups of people are they recommended?

This help article is about the available standard roles in softgarden and recommended groups of people.

softgarden provides several predefined roles that cover varying levels of access to jobs, applications, and system settings. The following overview lists all available standard roles and their typical use cases.


Standard roles and recommended areas of application

1. Super Administrator

Area of ​​application: Overall responsibility for the system and configuration.

Scope of permissions:

  • Full access to all subscribed softgarden products

  • Reset, delete, and copy roles

  • Edit and view access permissions for the application process

  • Management of all system settings

2. Just-Hire Administrator

Area of application: Responsible for applicant management, including system configuration and billing.

Scope of permissions:

  • Full access to all jobs

  • Access to system settings and billing

  • Reset, delete, and copy roles

  • Management of user permissions and roles

3. Just-Hire Recruiter

Area of application: Operational application and job management.

Scope of permissions:

  • Creation and management of jobs and applications

  • Access to applicant profiles and communication

  • No access to system settings or billing

4. Just-Hire Recruiter (Department)

Area of application: Departments and hiring managers without administrative privileges.

Scope of permissions:

  • Viewing and editing applications

  • Participation in the selection process

  • No ability to post jobs or purchase items from the shop

5. Just-Hire Reviewer

Area of application: Individuals involved only in later stages of the selection process (e.g., subject-matter decision-makers).

Scope of permissions:

  • Viewing applications from the "Pre-selection" stage onwards

  • Ability to evaluate and comment starting from this process step

6. Just-Hire Works Council

Area of application: Works council members.

Scope of permissions:

  • Access to applications starting from the "New" stage

  • Evaluations and comments are hidden

  • Access granted solely for the purpose of exercising co-determination rights


Custom Roles

In addition to standard roles, users with the Administrator role can create their own custom roles. These allow you to tailor permissions precisely to your company's internal processes and requirements.

Typical use cases for custom roles include e.g.:

  • Roles for specific departments

  • Roles with restricted read access

  • Roles for interns or working students in recruiting

  • Roles for managers with limited access

Custom roles can be configured entirely as needed—ranging from job access and application permissions to system-level rights.


Where can I view a role's permissions?

You can check a role's detailed permissions at any time in the role management section. There, you can see exactly which rights are assigned to a role and adjust them if necessary.

Here is how to find the permissions:

  1. Navigate to Settings → User Management → Roles

  2. Click "Open Role Management"

  3. Select the desired role

  4. Use the three-dot menu to edit, copy, or delete roles


Additional notes

  • Edit: Use the pencil icon to adjust a role's permissions.

  • Copy: Roles can be duplicated to quickly apply similar permissions to other user groups.

  • Delete: Roles that are no longer needed can be removed.

  • Transparency: Changes take effect immediately for all users assigned to that role.
