How do standard roles differ from custom roles?

This help article discusses the distinction between standard roles and custom roles in softgarden.

Updated yesterday

In softgarden, there are two main ways to manage user rights:

Standard Roles = Predefined Rights Packages

Standard roles are preconfigured bundles of permissions that unlock typical functions in the system.

Example: The "Recruiter" role allows editing applications, but not deleting or publishing job ads.

Note on Package Structure:

  • In the Start Package, only the roles Admin and Recruiter are available.

  • In the Pro Package, additional Reviewer roles can be used.

  • The Role Configurator to create and customize individual roles is available starting from the Elite Package.

Individual Roles = Targeted Exceptions

In addition to the standard role, individual rights can be manually added or revoked, usually in exceptional cases.

Example: A user with the "Reviewer" role should exceptionally also be allowed to move applications to the rejection folder.

These adjustments are made via the role configurator and should be used thoughtfully.

Tip: When creating individual roles, always provide a meaningful description to make future role assignments comprehensible.

Why Roles Are Still the Better Choice

Advantage

Description

Uniform Management

Roles can be quickly assigned to multiple users – without manual individual rights.

Clarity

Roles clearly show who can do what – without having to check every checkbox.

Scalability

Changes to roles immediately affect all assigned users.

Audit Security

Role-based rights allocation is audit-proof and data protection compliant.

Error Avoidance

Individual rights pose the risk of over- or under-permissions.

Conclusion

Manual rights adjustments are possible – but not recommended if you want a clear, secure, and maintainable structure in the system.

Assigning appropriate roles is usually the better solution because they are:

  • combinable

  • administratively more efficient

  • more transparent for all parties involved

  • and the cleaner option in softgarden

Additional Notes:

For Non-Admins: Changes to user rights or the assignment of other roles cannot be made by technical support or customer service. Our team is happy to assist you with advice – but direct implementation based on instructions is not possible. Please contact your internal administrators as needed.

For Admins: Use the Role Configurator (from Elite) to effectively manage and customize roles as needed. For more information, see the help article on the Role Configurator.
