How does a shared pool work in a multi-client system, and how can I have it set up?

Shared Pool in a Multi-Tenant System – Functionality and Setup

A shared pool enables multiple companies within a multi-tenant system to access a central talent pool collectively. There are two possible variations:

Option 1: Shared Pool Only

  • A single, large shared talent pool is created.

  • All companies within the multi-tenant system have access to the same applicants.

  • Each company sees the same candidates and can consider them for their open positions.

Option 2: Individual Pools + Shared Pool

  • Each company retains its own separate talent pool.

  • In addition to the individual pools, there is a large shared pool.

  • When inviting a candidate, the HR department can choose between:

    • Inviting the candidate to their own pool

    • Sharing the candidate with other companies via the shared pool

  • This provides two options. If the shared pool option is selected, the application automatically appears in the shared pool.

Important note

  • Only active clients have their own talent pool, which can be reached via a rejection email or an external link.

  • Applications that are rejected by a silent client are automatically transferred by the system to the talent pool of the next highest active client.

  • Access to applications in the shared pool is the same for all eligible companies.
