Why is my interview appointment from Outlook not showing in the system?

How to Create an Interview Appointment Within the Application

1️⃣ Change the application status to "Interview" and select the corresponding entry (depending on the stored workflow).

2️⃣ Select the entry "Manually Created".

3️⃣ By clicking "Import from your calendar," the appointment previously stored in Outlook will be transferred to the application. A guide for creating the calendar entry will be displayed.

4️⃣ If no appointment exists in the Outlook calendar, a notification will appear. Create the appointment in Outlook, and then you can import it into the system by clicking "Retry Import".

Causes & Solutions When the Appointment Does Not Appear in the System

Check Before Creating the Appointment:

🆕 Create a New Appointment

  • Ensure that a fresh appointment is always created.

  • Delete previously created appointments to avoid duplicate database entries.

🔢 Enter Applicant ID Correctly

  • Use square brackets and a hash, e.g., [#123456789].

  • Keep the subject line as free from special characters as possible, as they can disrupt the automatic readout process.

📅 Check the Date

  • The appointment must not be in the past.

👥 Check the Participant List

🔄 Note Appointment Rescheduling

  • The system does not recognize automatic rescheduling of appointments.

  • Delete the original appointment and send a new invitation.

Issues with New Appointments & MS Outlook

Microsoft Outlook can send emails in HTML format to create visually appealing messages.

❗Softgarden, however, cannot read HTML, which can lead to issues with appointment assignment.

Solutions for Outlook Users

Method 1️⃣: Send Email as "Plain Text" ✔ Ensure that the email is sent only in text format. ✔ This way, the applicant ID is correctly recognized when it is in the message text.

Method 2️⃣: Enter Applicant ID Directly in the Subject Line ✔ Insert the applicant ID directly into the email subject line. ✔ The subject line is unformatted, allowing the system to reliably assign the appointment.
