How can I add a new colleague to the existing system?

This help article is about user management in softgarden and adding new colleagues to the existing system.

To add new colleagues to your existing system in softgarden, you can use user management.

Required Permission

Important Information: The feature can only be viewed and used by people with the appropriate role permission. If a user does not have the "Just-Hire Administrator" role assigned, the respective role must be adjusted. These changes can only be made by a person with the "Just-Hire Administrator" role.

Administrator Path to Enable the Feature

Settings → User Management → Roles → Open Role Management → Select the appropriate role and choose the "Edit" option from the three dots. In the "Softgarden Dashboard" tab, check the "Create user" and "Assign user roles" options.

Finally, click on the "Save" button. Furthermore, the roles to be assigned must be selected under the entry "Allowed to assign and revoke the following roles to a user".


📝 Step-by-Step Guide:

1️⃣ Open the settings in softgarden and select the "User Management" settings area. Here you will find the "User" entry.

2️⃣ Click on the blue "Invite Colleagues" button.

3️⃣ Enter the user's email address, first name, and last name. If you are using a client system, select the appropriate company and the role the user should receive in the system. If necessary, a message can be added to provide the newly invited user with information on the next steps.

ℹ️ Notes:

  • New users can only be invited with email domains listed under "Approved Domains". Additional domains can only be added by users with the "Just-Hire Administrator" role under ⚙️ Settings → User Management → Allowed Domains.

A user with the specified email address already exists in your applicant management system.

In this case, an account with the specified email address already exists, either within another client or was invited to a previous test system.

4️⃣ Send the invitation by clicking on the "Send Invitation" button.

ℹ️ Note: The newly created account will appear in the user list as an inactive account, displayed in light gray font. By clicking on the "Resend Invitation" entry, a new invitation link can be sent via email to the invited user.

5️⃣ The invited person receives an invitation via email and clicks on the "Accept Invitation" button contained within.

6️⃣ In the form accessed by clicking the link, the invited user sets a password independently and clicks "Save and continue" to store it.

ℹ️ Note: The password must be at least 10 characters long and contain three of the following: uppercase letter, lowercase letter, number, special character.

7️⃣ The account is now activated, and the invited user can log into Softgarden with their email address and password.
