How can email templates be deleted – and which links need to be removed beforehand?

This help article is about deleting email templates in softgarden and the links that must be removed beforehand.

In order for an email template to be deleted in softgarden, all existing links must first be removed. This article shows you where templates can be integrated, which dependencies need to be resolved and where you can then delete the email template.


Removing links within the email template

Before a template can be deleted, all assignments within the template itself must be removed.

Check the following areas:

  • New email

  • Email template for transferring applications

  • Workflow & application process

As long as the template is actively embedded in one of these locations, the delete function remains disabled.


Removing links under “Automated emails”

Under Settings → Automated emails, all links to the email template to be deleted must be removed—both:

  • in the main tenant,

  • and in sub-tenants, if applicable.

The email template can only be deleted once it is no longer stored there as an automated message.


Where to delete email templates

Once all links have been removed, you can delete the template here:

If the delete button remains greyed out, there is still an active link in one of the areas mentioned above.


Note on standard templates

Some system-provided standard templates—such as "Immediate rejection" or "Rejection after interview"—do not appear in the "Email templates" settings area. While you cannot delete them yourself, your softgarden account manager can hide them for you upon request.


Required role permission

To edit or delete email templates, you need the "Manage email templates" permission.


Tip

If you use a large number of email templates, it is worth reviewing them regularly:

  • Which templates are still actively in use?

  • Which ones are outdated?

  • Are there any duplicate or similar templates?

This helps keep your communication organized, consistent, and easier to maintain.
