Which position information cannot be modified subsequently?

This help article explains why certain job settings cannot be changed after publication and outlines the options available to you if adjustments are nevertheless required.

Which settings are locked after publication?

Once a job has been published, the following parameters can no longer be changed:

  • Workflow

  • Change of layout

  • Client affiliation (if a client structure is set up)

Important: The online status is irrelevant - even if the job is not yet online, these settings can no longer be adjusted once the 4th step in the job creation menu has been completed.

What to do if a change is necessary?

If you need to adjust any of these settings, there is only one correct way:

1. Close job or deactivate the posting channels

Contact our media team within 24 hours to check whether a free cancellation of the publication is still possible. In many cases, cancellation within this period is possible free of charge - the sooner the better!

⚠️ Please note: Free cancellation is often possible, but cannot be guaranteed as the final decision lies with the respective job exchange.

2. Create a new job

You can make the “Create a new job” step much easier by simply copying the incorrect original job. You can find instructions on how exactly this works here.

Pay attention to the correct workflow

The right layout

As well as the correct client affiliation (if a client structure is set up)

What happens to existing applications?

Applications already received remain associated with the original job posting and can be fully processed there. They are not automatically transferred to the newly created job posting.

Copying or moving an application – what are the options?

softgarden offers a "Copy application" function that allows you to duplicate or move an application to a different job posting.

When copying or moving, you can choose what happens to the original application:

  • Keep the candidate on the original job

  • Reject the candidate on the original job

  • Remove the application from the original job

Important notes on the copy function

  • The copied application is a new, separate application.

  • The original application remains intact (unless you deliberately remove it).

  • The history from the original application is not transferred.

  • The copy does not replace the original application.

  • The function is intended to assist but does not solve the fundamental issue that the workflow, layout, and client affiliation cannot be changed retroactively.

Best Practice: Check before publishing

To avoid subsequent changes, it is recommended to:

  • define the desired workflow in advance

  • check the layout using the preview

  • deliberately select the client affiliation (if a client structure is set up)

FAQ

What should I do if I have saved a change to the layout of an existing job?

To update the layout of a job posting that has already been published, go to the "Job boards" tab within the job entry. Click the three dots next to the individual job portals and select the "Update ad" option. This republishes the posting with the new layout.

External portals generally adopt layout changes automatically.

If a posting date is displayed on the job ad, it will update accordingly.
