In softgarden, receipt confirmations are controlled client-specific by default. These global templates apply to all jobs system-wide unless different settings are made. It is also possible to store individual confirmations of receipt for each job in order to send applicants a tailored message depending on the advertisement.
Client-related (global) receipt confirmations
The global confirmations of receipt are maintained centrally in the settings and apply to all applications unless a job-specific template is active.
You can activate automated receipt confirmations in the Settings → Individualization → Automated emails area under “Use your own settings for receipt confirmations” using the switch and then select the desired email template for internal and external receipt confirmations.
Note: In a client system, automatic receipt confirmations must be activated separately for each client.
Individual receipt confirmations per job (optional setting)
In addition to the global templates, you can store a separate confirmation of receipt for internal and external applicants for each individual job. This setting is optional and overwrites the client-specific template for this job only.
Where is the job-specific confirmation of receipt posted?
In the job creation menu under step 4, or
for an already published job in the “Overview” tab.
The confirmation of receipt applies exclusively to this job and can be defined separately for external and internal applicants. The individual receipt confirmation can be deactivated at any time using the slider, so that the global receipt confirmation automatically takes effect again.
Advantages of individual receipt confirmations per job
Tailored communication — Applicants receive a message that exactly matches the respective advertisement. Example: For a trainee position, the confirmation of receipt can deliberately be formulated in the informal form (“Thank you for your application - we will get back to you as soon as possible.”), while management positions continue to be addressed in the formal form.
More professionalism — Different roles or departments can use their own formulations that better suit the respective target group.
Flexibility — Campaigns, special projects or time-limited tenders can be addressed individually, e.g.B. with specific notes or special thank you messages.
Employer branding — Communication can be optimized depending on the job target group in order to strengthen the employer brand consistently and in a targeted manner. Example: A more relaxed tone can be chosen for creative areas, while technical roles receive a more objective approach.
Important notes
There is no central overview that shows which template is stored in which job.
Each template must be checked or adjusted individually in the respective job.
Limitation: Manually added applications
When applications are added to a job manually (e.g., by uploading a resume or manual entry), the standard acknowledgment of receipt is always sent. The job-specific acknowledgment of receipt is not used in this case.
