General User Management

This help article is about the central general user administration in softgarden, through which all user accounts are managed system-wide, roles are assigned, invitations are sent and basic administration tasks are carried out.

The general user management is the central interface for managing all user accounts in softgarden.

It applies globally to the entire applicant management system and all additional products. Regardless of which module or area a user is active in, all accounts are managed centrally here.

In this user management, user accounts can be created, deleted or edited. In addition, roles can be assigned and invitation emails can be sent again.


Accessing General User Management

Via the menu

  1. Log in to softgarden

  2. Select "Manage users" from the black menu bar at the top

User status: “Created” and “Active”

Newly invited users appear immediately in the general user management - even if they have not yet accepted the invitation.

  • Created: The user has been invited, but has not yet set a password and has not yet logged in to softgarden.

  • Active: The user has accepted the invitation, assigned a password and logged in to softgarden for the first time.

Only after this first login does the user appear in the regular user overview of the ATS.


Move users (change clients)

Moving a user between sub-clients and main clients is not possible here.

This function is only available in the ATS user management:


Administrative Functions

Administrators have access to several key administrative actions via the three dots on the right side of each user row. These enable the quick editing and management of user accounts:

Assign Roles

Here, one or more roles can be assigned to a user. Roles determine the permissions the user has within the system. If more than one role is assigned, the highest-level role takes precedence. Changes take effect after saving and the user logging in again.

Send Password Reset Email

This function sends an email to the user allowing them to set a new password. This is useful if a user has forgotten their password or needs to set a new one for security reasons.

Delete User

This option allows a user account to be completely removed. Deleted users can no longer log in. This action should only be performed if access is no longer required on a permanent basis.

Resend invitation email

If a user did not receive the original invitation or the email was lost, the invitation can be resent. The user will then receive the link again to set their password and activate their access.

Info: The link is valid for 24 hours.


Filtering and Sorting Options

To keep user management organized even when dealing with a large number of accounts, various filtering and sorting options are available. These help you locate specific users or structure the view according to your needs.

Filtering Options

The available filters allow you to quickly narrow down the list of users:

  • Company: Displays only users belonging to a specific company or tenant. Particularly useful in multi-tenant structures.

  • Role: Filters by assigned roles (e.g., Admin, Recruiter, Reviewer). Ideal for finding, for instance, all administrators or all users with specific permissions.

  • Name or Email Address: Enables a direct search for individual users. Entering just a few characters is enough to filter the list.

Sorting Options

Additional sorting options are also available to arrange the user list alphabetically:

  • First name (ascending)

  • First name (descending)

  • Last name (ascending)

  • Last name (descending)

  • Email (ascending)

  • Email (descending)

These sorting options facilitate navigation—especially within large teams—and help you quickly locate users or review lists in an organized manner.


Inviting New Users

You can add new users directly to the general user management area using the "Invite" button. When an invitation is sent, an email goes to the new user's specified address; this email contains a link allowing them to set their password and activate their access.

Once the invitation has been sent, the new user immediately appears in the overview—though initially with the status "Created." This status indicates that the user has been set up and invited but has not yet accepted the invitation.

A user remains in the "Created" status until they:

  • open the invitation,

  • set their own password, and

  • successfully log in to softgarden for the first time.

The status changes to "Active" only after this initial login. From that point on, the user also appears in the ATS's standard user overview.

Administrators can also resend the invitation at any time via the general user management area, should the user fail to receive or overlook the original email.
