Feedback API (Standalone)

This help article covers the Feedback API for standalone customers, which allows feedback invitations to be sent automatically and responses to be centrally collected and analyzed within softgarden.

Important: This API is intended for standalone Feedback customers. You are not using the softgarden Applicant Management System (BMS), but exclusively the Feedback Solution.

Executive Summary

You transmit candidate or employee information to softgarden via the Feedback API. softgarden then sends out the feedback invitation—either immediately or at a scheduled time. All responses are collected centrally in softgarden and can be published or embedded.

1) What is the Feedback API?

The Feedback API is an interface that allows you to pass recipients (e.g., candidates after an interview or employees after being hired) to softgarden. softgarden handles the sending of feedback emails/links, sends reminders if necessary, and collects the responses.

What the Feedback API is not intended for:

  • Managing applications

  • Publishing job ads (the Frontend API v3 is used for this)

The Feedback API focuses exclusively on gathering and analyzing feedback.

2) What can you do with it?

  • Automated feedback collection: For applicants (candidate experience) or new hires (employee feedback).

  • Timing control: Send invitations immediately or after a set number of days.

  • Centralized analysis in softgarden: View scores and comments in a clear overview.

  • Public display: Show feedback on your softgarden certificate/review page or embed it into your website via a feedback widget.

  • Forwarding to portals: Optionally enable data transfer to kununu.

Result: More and more reliable feedback—without manually sending emails from Outlook.

3) When is the Feedback API (standalone) worth it?

  • If you don’t use the softgarden BMS but want to systematically collect candidate or employee feedback.

  • If you want to automate distribution and reminders and view results centrally.

  • If you want to make feedback visible (via a website widget or certificate page) or share it with kununu.

It is not ideal if you lack both the IT resources for a simple API integration and data sources for recipients.

4) How it works

  1. Transfer data: You send recipient information (e.g., name, email, context such as "applicant" or "employee," and optionally the timing/trigger) via the Feedback API.

  2. Send invitation: softgarden sends the invitation using your specified text.

  3. Collect feedback: Responses are received via the softgarden questionnaire.

  4. Analysis & publication: View results in softgarden, populate the certificate page/widget, and optionally transfer data to kununu.

5) Who does what?

  • You / your IT team: Transfer recipient data to the Feedback API and define when and to whom invitations are sent.

  • softgarden: Sends invitations/reminders, collects responses, and provides analyses as well as integration options (certificate page/widget/kununu push).

6) Data Protection & Consent

  • You ensure that a legal basis or consent exists for email contact and feedback processing.

  • Data is used specifically for feedback purposes and is stored and analyzed within softgarden.

  • Publication (website/kununu) occurs only upon your approval or in accordance with your settings.
