We continually develop the onboarding software to tailor it to the needs of our customers.
The most important innovations at a glance:
Add and remove tasks flexibly (before and during a flow)
Previously, tasks of a flow were fixed after it was started. This restriction has now been completely lifted:
Before starting a flow: Admins and HRs can remove tasks directly in the “Start Flow” dialog before the flow begins.
During a running flow: Tasks can be added or removed at any time.
This extension gives you maximum control and flexibility:
Flows can be adapted to the respective situation right from the start.
Redundant tasks and unnecessary notifications are avoided.
Running flows remain adaptable and react flexibly to new requirements.

New welcome email for buddies
This email informs the buddy about their role and the new team member's start date, and invites them to actively support the onboarding process. The tone is appreciative, concise, and practical—tailored to the buddy's role.

Resetting tasks and editing responses after submission
We have introduced two features to help you easily correct errors in tasks:
Reset task: Tasks that have already been completed can be reopened.
Edit responses: Incorrect entries (e.g., wrong documents) can be corrected even after completion.
Both actions trigger automatic notifications to all relevant individuals to ensure the flow of information.

New access and visibility settings for HR users
Refined rights management for HR users:
When starting a flow:
Completely restrict access: HR users can be excluded from certain flows.
Allowlist principle: Grant access to a specific flow only for selected HR users.
Team > User Settings:
HR users can have access to all active flows temporarily revoked (e.g. during their own onboarding).
Access to flows in subsidiaries can be precisely controlled without changing global HR rights.
These functions ensure a precise and secure distribution of roles - especially for enterprise customers with complex structures.
Assigning a substitute for absent team members in the Onboarding Solution
Admins and HR managers can designate a substitute for team members who are on vacation or temporarily unavailable, ensuring that important tasks do not go unattended.
During the absence:
the substitute takes over all tasks assigned to the absent person,
the absent person is highlighted in purple throughout the system,
the absent person can still complete tasks themselves if necessary,
the substitute receives automatic notifications at the start and end of the absence.
Admins and HR managers can manually end the absence at any time.
👉 A substitute can be assigned in the "Team" section via a user's three-dot menu.
Tag Management
Tags can be created, edited, and deleted directly within the management interface—independently of creating new templates or flows.
For added clarity and efficiency when organizing your onboarding processes:
View where a tag is used (flows, templates).
Direct access to linked elements for quick editing.

New variable: Salutation
The salutation automatically adjusts based on language and gender – similar to the function in the applicant management system.
👉 This variable is available in both task and email templates.
Editable templates for reminder and summary emails
Admins can create and customize the text for reminder and summary emails using their own templates.
This gives you full control over the content and tone of these automated emails—whether for company-specific phrasing, additional notes, or custom wording.

Displaying who completed a task
In the onboarding software, tasks can also be completed by HR staff and administrators.
To ensure optimal traceability, the system displays who actually completed a task.
Enable onboarding for new HR team members
Newly hired HR team members can be included in an onboarding flow, even while they are onboarding other employees themselves.
Automatic sending of the onboarding invitation on the start date
If a new employee has not accepted their invitation by the start date, the invitation is now automatically resent as soon as onboarding begins.
Preboarding access remains available without a login.
Logging in via softgarden SSO is required for the onboarding phase.
Additional attributes in summary emails
Summary emails include the following information:
Employee name
Company name
Flow name
These attributes can be enabled in the settings to improve clarity and context.

Revamped task list on the welcome page
New features:
Completed tasks can be viewed again (including your own answers).
Future tasks scheduled for next week or later can be specifically shown or hidden.
Optimized display on mobile devices (iOS & Android) for a better user experience.
Globally hide upcoming tasks
To improve clarity for new employees, upcoming tasks can be hidden globally.
This setting applies to all Basic Users and affects the following areas simultaneously:
Welcome page (tab: "This Week")
Admin interface: "My Tasks"
Summary emails
Many customers report that new employees tend to work on tasks that are not yet relevant. This can lead to errors and unnecessary effort. With this new feature, employees stay focused on tasks that are truly current—in the right context and at the right time.
