How can I send applications to the system via email?

This help article is about submitting applications via email and the key requirements for doing so.

Send applications conveniently via email to a job in your system (with CV parsing):

Under the βž• symbol ("Add application"), you can send applicants via email to your system.

Applications can be sent to two email addresses:

  • Case A: An applicant has applied via mail or email. Forward the application to: send-in@[your company name].softgarden.io

  • Case B: You have received an application via mail or email from an agency. Forward the application to: proposal@[your company name].softgarden.io

When you click on the email link in the box, a pre-filled email opens. The placeholders in the mail must be replaced.

🚧 Still in implementation: The two cases differ only in the entry channel ("Forwarded via email" or "Forwarded via email (agency)"). In both cases, no automatic receipt confirmation is sent to the applicant.

To ensure the application is correctly assigned, the following should be observed:

1. Email Subject

The job reference number must be included in square brackets (e.g. [#775279]).

2. Required data in the email

The email should contain only the required information, without additional personal additions:

  • First name

  • Last name

  • Email address

  • Gender (f or m)

  • Language (de/en/fr/nl/es/pt/sv/it/zh)

  • Application type (optional: internal) – If the application should be internal, this value must be kept exactly.

3. Email format

The email should not be in HTML format but must be sent as plain text to ensure error-free processing.

4. Maximum file attachment size

Please note that the maximum file size of an attachment must not exceed 10 MB. Otherwise, the application cannot be processed properly.

5. Resume file

  • If there are multiple attachments, the resume file must begin with "CV_" so that it can be read by the system.

  • The file should contain only the resume – no additional documents such as certificates or other attachments.

  • Image files are not allowed – the file must contain text that is selectable when opened.
