Name change for SSO users

This help article covers the correct procedure for changing names or email addresses for SSO users and how to handle changes to the externalID to avoid duplicates in the system.

Changed your first name, last name, or email address? → Simply update the details in the IdP (e.g., Entra). The new values ​​will be automatically synced to softgarden upon your next login.

The only issue arises if the externalID changes, as the SSO user in softgarden is mapped via this ID.


When the externalID changes

Best before the IdP changeover (recommended):

  • Write to technical support.

  • Specify: company, affected user, old externalID, new externalID, planned changeover date.

  • We map in advance → then change the IdP → let the user log in.

Already switched to IdP? No problem:

  • If you would like to merge the SSO accounts, write to the specialist team at [email protected].

  • Specify: company, user, old & new externalID, time of first login with the new externalID.

  • As a rule, an “empty” new user was created - we map and merge the accounts.


Why this is important

The externalID is the key to matching. If someone logs in with a new externalID before we have performed the mapping, a duplicate (a new, empty account) is created.
