How do I set up the interface with the Federal Employment Agency, and how does it work?

This help article is about submitting jobs to the Federal Employment Agency's job board and the necessary preparations.

Jobs can be submitted to the job exchange of the Federal Employment Agency via softgarden. Some preparations are required for this.

What preparations need to be made?

To successfully set up the interface, you first need to make some preparations in coordination with the Federal Employment Agency.

  1. Register as a company with the Federal Employment Agency and verify using a letter pin (if no account/employer number exists yet): https://www.arbeitsagentur.de/eservices-unternehmen

  2. This employer account should have the status "managed". Here you can contact the employer service. You can call them and ask the caseworker to mark the account in "Verbis" as "managed" (if this has not already been done).

  3. A cooperation agreement for using the interface of the Federal Employment Agency (HR-BA-XML interface) must be requested and signed by you.

  4. Sign the cooperation agreement and send it back to the Federal Employment Agency. After that, you will receive a certificate, a certificate pin, and other identification data (e.g., supplier ID, alliance number, etc.).

Steps 1-3 are required by the Federal Employment Agency for connecting the interface and must be implemented by you. Unfortunately, we cannot do this on your behalf.

You will need the information from the last point to activate the interface at softgarden.


Activate interface at softgarden

As an administrator, you can activate the interface in the settings:

Settings β†’ Job Boards β†’ Federal Employment Agency

  1. Enter the following information that the Federal Employment Agency shared with you by mail and email:

    1. Alliance partner number

    2. Customer number (10-digit number you received)

    3. Certificate pin (sent by mail from the Federal Employment Agency after signing the cooperation agreement)

    4. Supplier ID

    5. Upload certificate file (this is sent annually by the Federal Employment Agency - please update accordingly)

  2. Set the interface to "Active"

Submit Jobs

Post New Jobs

  1. If you create a new job, you can activate the "Federal Employment Agency" tab in the last step.

  2. Please complete the mandatory fields marked in red for the job.

  3. Also check the pre-filled information.

Submit Existing Jobs

Similarly, you can also submit existing jobs to the Federal Employment Agency β€” simply use the "Post More Job Ads" button.

FAQ - Causes of errors when an ad is rejected by the Federal Employment Agency

  • Work location and state do not match

  • A training position is advertised, even though the company is not authorized for training by the Federal Employment Agency

  • The start and end dates of the contract are confused (start date after end date)
