In the onboarding software, the one-time password feature is enabled by default during the preboarding phase.
What does this mean in practice?
When tasks containing sensitive information (e.g., personal data, contract documents, etc.) are sent during the preboarding phase, the one-time password ensures that only the intended new employees can access this content.
Once entered for the first time, the one-time password is stored in the new employee's browser for two weeks. After this period expires, a new password is required.
Important note:
Manually disabling the one-time password function in the company settings is possible but is strongly discouraged if sensitive data is processed during preboarding.
Should the function be deactivated nonetheless, the system will explicitly notify you again. Additionally, a notification is automatically sent to all administrators in your onboarding software, indicating who deactivated the function and when.
