Softgarden provides two main types of reporting options through its Applicant Tracking System (ATS):

  1. Dashboard Reports – Visual, interactive analytics available directly in the ATS

  2. Snapshot Reports – Exportable raw data for custom analysis


Dashboard Reports

Located under the Reports section in the ATS, Dashboard Reports offer real-time visual insights into different areas of the recruitment process. These dashboards help users monitor and evaluate key recruitment KPIs easily.

Available Dashboards:

  1. Recruiting Summary
    Provides an overview of all recruitment activities and performance across the organization.

  2. Entrance Channel
    Shows where applicants are coming from (e.g., job boards, career page, referrals).

  3. Application Action Report
    Offers a detailed breakdown of applicant actions, including funnel views and engagement steps.

  4. Recruiting KPI
    Displays in-depth metrics on key performance indicators (KPIs) such as time-to-hire, offer acceptance rate, and more.

  5. Applicants
    Analyzes data related to candidates, including demographics, statuses, and job application trends.

  6. Referral Manager (Available only with the Referral Manager Add-On)
    Shows data related to the usage and performance of the Referral Manager module.

  7. Headhunter Module / Agency Report (Available only with Agency Module)
    Provides insights into activities from external recruitment partners, including:


Snapshot Reports (Raw Data Exports)

Snapshot Reports can be found in the final tab of the Reports section in the Softgarden ATS. They allow customers to export raw data from the system for external storage, reporting, and custom analysis. Supports download formats: XLSX, CSV, and JSON

These reports are particularly useful for customers who need to perform in-depth analysis outside of the ATS or integrate data into external BI tools or internal dashboards.

Available Snapshot Export:

  1. Applicant Report
    Offers applicant-related data, including personal details, application info, and communication history.

  2. Application Action Report
    Includes data on user and system actions performed on applications (e.g., status changes, comments).

  3. Entrance Channel Report
    Contains data on the channels through which applicants entered (e.g., job boards, referral links, direct applications).

  4. Headhunter Report (requires Agency Module)
    Includes submissions and related data from external recruitment agencies.

  5. Interview Report
    Offers details on interview scheduling, statuses, feedback, and outcomes.

  6. Pipeline Report
    Contains data on candidates’ progression through the hiring stages.

  7. Question Library Report
    Includes exported data on all library questions used in job postings, along with any predefined answers.

  8. Recruiting KPI Report
    Offers recruitment performance metrics such as time-to-hire, number of interviews, and application conversions.

  9. Workflow Status History Report
    Includes the full history of status changes applied to each candidate’s application.

  10. Referral Report (requires Referral Manager Module)
    Contains data on candidate referrals submitted through the Referral Manager feature.

  11. Job Posting Versions Report
    Offers version history data for each job posting, including content changes and update timestamps.

  12. Job Postings
    Includes a list of all posted jobs along with relevant details such as title, location, and posting status.

  13. Requisition Status History
    Contains status history for each requisition throughout its lifecycle.

  14. Requisitions Recruiters Report
    Offers data on recruiter assignments for each requisition.

🧰 Available Filters – Snapshot Report Exports

Before downloading the snapshot report, the following filters can be applied to customize the export:

Filter

Description

Select Company

Displays data for the selected company. If no company is chosen, the report will default to the company associated with the logged-in user.

Date Range

Each snapshot report/export uses a date range filter specific to its reporting logic.

Include Subsidiaries

When enabled, the report includes data from all subsidiaries (if any) along with the selected or default company.

Disregard Deleted Jobs

When selected, jobs that have been deleted from the system will be excluded from the export.

Disregard Deleted Applications

When selected, applications that were deleted or permanently cleaned from the system will be excluded from the export.


📄 Agency Report

The Agency Report is a downloadable raw data export available in the Snapshot Reports section of the Softgarden Applicant Tracking System (ATS).

This report provides detailed information on applications submitted by external recruitment agencies, including applicant and agent details.

  • Monitor performance and volume of agency-submitted candidates

  • Track candidate outcomes by agency and referrer

  • Audit application and referral status changes

  • Analyze agency contribution to hiring pipeline

The Applicant Report is a downloadable raw data export available in the Snapshot Reports section of the Softgarden Applicant Tracking System (ATS).

This report offers comprehensive applicant-level data for all submitted applications .

The Application Action Report is a downloadable raw data export available in the Snapshot Reports section of the Softgarden Applicant Tracking System (ATS).

This report provides detailed event-level data for application actions, capturing changes and updates made throughout the application lifecycle.

Primary Use Cases

  • Monitor application event history and workflow changes

  • Track user actions such as status updates and comments

  • Analyze application progress and recruiter activity

  • Support audit and compliance requirements

  • Integrate event data into dashboards and BI tools

📄 Entrance Channel Report

The Entrance Channel Report is a downloadable raw data export available in the Snapshot Reports section of the Softgarden Applicant Tracking System (ATS).

This report helps you analyze how candidates are entering your recruitment funnel by tracking the source of applications and the associated costs. It supports evaluating the performance of free, paid, and internal job channels.

Primary Use Cases

  • Identify top-performing recruitment channels by application volume

  • Compare free vs. paid job posting efficiency

  • Track hiring outcomes by source

  • Audit historical usage of posting channels

  • Optimize recruitment budget by assessing paid channel ROI

Channel Cost Type Definitions

CostType Value

Definition

FREE

Job postings published without any cost. These are typically organic listings or free channels.

PAID

Job postings for which a payment was made. This term replaced the older value PURCHASED.

PURCHASED

(Obsolete) Former label used for paid job postings. Still appears in older report data.

MINE

Internal job postings handled directly by the company, often through owned or non-commercial channels.

📄 Interview Report

The Interview Report is a downloadable raw data export available in the Snapshot Reports section of the Softgarden Applicant Tracking System (ATS).

This report provides detailed insights into scheduled interviews, helping you understand candidate progression, interview volumes, and source effectiveness.

Primary Use Cases

  • Analyze which channels lead to interviews

  • Monitor interview scheduling trends across weeks and months

  • Track recruiter or hiring manager activity

  • Measure time from application to interview

  • Support planning and optimization of interview operations

📄 Job Posting Report

The Job Posting Report is a downloadable raw data export available in the Snapshot Reports section of the Softgarden Applicant Tracking System (ATS).

This report offers detailed insights into job postings, associated channels, statuses, and project timelines. It enables teams to monitor distribution strategies, optimize channel usage, and track the lifecycle of job postings.

The Job Posting Version Report is a downloadable raw data export available in the Snapshot Reports section of the Softgarden Applicant Tracking System (ATS).

This report provides detailed version-level information for job postings, capturing each iteration's lifecycle, updates, and status changes. It is useful for tracking publishing history, version control, and audit trails of job ads.

  • Monitor activation and deactivation timestamps of job versions

  • Analyze channel performance at the version level

  • Audit job content updates for compliance and QA

📄 Pipeline Report

The Pipeline Report is a downloadable raw data export available in the Snapshot Reports section of the Softgarden Applicant Tracking System (ATS).

This report offers detailed tracking of job posting performance and candidate pipeline stages, helping recruiters monitor job visibility, candidate progression, and hiring outcomes.

Primary Use Cases

  • Analyze job posting views and click engagement

  • Track candidate progression through pipeline stages

  • Monitor hiring funnel effectiveness

  • Support recruitment analytics and reporting

  • Integrate pipeline data with internal dashboards or BI tools

Column Definitions

Date Range: The report uses multiple timestamps depending on the data type:

  • Job Posting Creation Date: Filters job postings created within the selected date range.

  • Job Creation Date: Applies to jobs posted without a formal posting (virtual postings).

  • Application Status Changes: Tracks applicant movements through stages (Interview, Offer, Hired, etc.).

  • Click and View Activity: Engagement metrics (clicks/views) filtered by the date range.

All filters include only data falling within the selected date range.

📄 Question Library Report

The Question Library Report is a downloadable export available in the Snapshot Reports section of the Softgarden Applicant Tracking System (ATS).

This report captures candidate responses to standardized library questions used in application forms. It includes metadata about the questions, applicant responses, and pre-qualification scoring—offering insights into structured screening processes.

  • Analyze responses to pre-defined library questions

  • Review candidate answers for pre-qualification filtering

  • Audit question usage and structure across jobs

  • Track question effectiveness and scoring trends

📄 Recruiting KPI Report

The Recruiting KPI Report is a downloadable export available in the Snapshot Reports section of the Softgarden Applicant Tracking System (ATS).

This report helps recruiters and HR teams measure key performance indicators (KPIs) throughout the hiring process, such as time-to-hire, time-to-interview, and time-to-closure.

Primary Use Cases

  • Measure recruitment efficiency and speed

  • Track pipeline movement and bottlenecks

  • Identify jobs with long time-to-hire cycles

  • Benchmark KPIs across departments or job types

  • Improve recruitment planning and forecasting

📄 Referral Report

This report provides basic details about requisitions created within the system, supporting visibility into request and approval activity across companies and users.

  • Track requisition creation activity across teams or departments

  • Identify ownership and request patterns

  • Support compliance audits or requisition lifecycle reporting

  • Integrate with requisition approval workflows or dashboards

This report provides detailed insights into the approval workflow of requisitions, including individual approval steps, statuses, comments, and approvers. It is intended to help HR and recruiting teams track requisition progress and approval timelines.

  • Identify bottlenecks or delays in the approval process

  • Integrate approval tracking data into dashboards or reports
